This Privacy Policy explains what information Appealify ("we," "us") collects when you use appealify.net (the "Service"), how we use it, and the choices you have. By using the Service, you agree to this Policy.
1. Information we collect
Denial text you paste
When you use the decode or appeal feature, the text you paste is transmitted to our third-party AI provider to generate the analysis or letter. We do not store this text on our systems after processing. We recommend you remove obvious personal identifiers (such as your full member ID) before pasting; the Service can work without them.
Anonymous usage metadata
To understand and improve the Service, we keep non-identifying metadata such as the general denial category, document type, urgency, jurisdiction (e.g. country/state when detectable), and approximate length. This metadata is not linked to your identity and does not include your denial text.
Information you choose to give us
- Contact form / waitlist: if you contact us or join a list, we collect your name (if provided), email address, and your message.
- Outcome follow-up: if you opt in, we collect your email and any outcome you choose to report ("approved," "still waiting," etc.) so we can follow up and improve our estimates.
Payment information
Purchases are handled by a third-party payment provider acting as merchant of record. They process your payment and receive your payment details directly. We do not receive or store your full card number. We may receive limited confirmation data (such as that a purchase succeeded and a transaction reference).
Analytics and cookies
We use privacy-respecting web analytics to understand aggregate traffic (such as page views and which features are used). These tools may use cookies or similar technologies and may collect your approximate location, device, and browser type in aggregate. We do not use this to identify you personally.
2. How we use information
- To provide the Service — analyze denials and generate appeal letters.
- To improve the Service and our accuracy, using anonymous metadata and consented outcomes.
- To respond to your messages and, if you opt in, follow up about your outcome.
- To process payments through our merchant of record.
- To protect the Service from abuse, fraud, and technical problems.
We do not sell your personal information.
3. Third parties we share with
We share limited information with service providers strictly to operate the Service, including: our AI provider (to process denial text in real time), our hosting/CDN provider, our form/email-delivery provider, our payment merchant of record, and our analytics provider. Each processes data on our behalf or under its own terms. We may also disclose information if required by law or to protect our rights and the safety of others.
4. Data retention
Denial text is not retained after processing. Anonymous metadata may be retained to improve the Service. Information you give us (such as email and messages) is retained only as long as needed for the purpose you gave it, or as required by law, after which it is deleted or anonymized.
5. Your choices and rights
- You can use the free decode without giving us your email.
- You can ask us to access, correct, or delete personal information you've given us by emailing [email protected].
- You can unsubscribe from any follow-up emails at any time.
- Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA; contact us to exercise them.
6. Security
We use reasonable technical and organizational measures to protect information, including transmitting data over encrypted connections. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Children
The Service is intended for adults (18+) and is not directed at children. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
8. International users
The Service may be operated from, and use providers located in, countries different from yours. By using the Service, you understand your information may be processed in those locations, which may have different data-protection laws.
9. Changes to this Policy
We may update this Policy from time to time. The "Last updated" date shows the latest version. Continued use of the Service after changes means you accept the updated Policy.
